We turn the event brief into a connected plan for the people, the room and the programme. You can see what is included, who does what and how the evening is intended to run.
One plan for the moving parts.
Event organisation brings creative and practical decisions into the same document. We begin with the purpose, date, venue, likely numbers and budget, then identify what the event needs to achieve for the people attending. We ask which elements are already arranged and which you want Roll Folk to coordinate.
The proposal describes the programme, the equipment and the people required to deliver it. It separates our supply from venue services and independent suppliers. A wider production scope may include décor, lighting, hosts, croupiers, branded displays or coordination with your caterer.
Scope that you can review.
We identify assumptions before they become surprises: whether access is level, how long loading takes, when the room is available and whether the venue has usable power or presentation equipment. We clarify the event duration and distinguish guest-facing time from setup and pack-down.
You review the written scope, indicative or confirmed costs, payment terms and cancellation arrangements before booking. Changes to equipment, numbers, duration or supplier roles are agreed in writing. Sending an enquiry does not reserve a date or create a booking.
Brief & feasibility
We clarify the event purpose, audience, age policy and practical constraints. Venue suitability, supplier availability and travel are assessed against the actual date and scope.
Creative & programme development
We recommend a coherent theme, guest flow and running order. Arrival, hosted activities, formal moments, breaks and the finish each have a place. You approve the direction before bespoke production begins.
Equipment & supplier coordination
We specify the agreed furniture, props, tables, lighting and sound. The plan assigns supplier contacts, delivery times, setup responsibilities and access requirements. Additional services remain visible in the cost breakdown.
Branding & final approvals
You provide approved artwork, names and presentation content. We agree print or fabrication deadlines, a final guest estimate and the person authorised to approve changes on site.
Setup & guest programme
The team checks the layout and equipment, briefs hosts and follows the agreed sequence. Coordination includes communicating timing changes and keeping guest routes and working areas clear.
Pack-down & close
Supplied equipment is removed within the agreed access window. Any hired items retained overnight, venue handover duties or follow-up supplier costs are addressed in the event scope.
The room must work for the people in it.
We consider entrances, circulation, seating, sightlines and how sound travels. Guests may need a step-free route, a seated activity option, clear written information or a quieter place to talk. Share needs early so we can assess them with the venue and relevant suppliers.
Our maximum service scope is 75 guests and eight hours of event programme. Staffing and equipment scale with the number participating at once, the activity mix and the length of coverage. A compact starting-price package does not include that full maximum scope.
Responsibilities agreed in advance
The venue remains responsible for its premises and operating requirements. Food, alcohol, specialist attractions and security need appropriate arrangements with the relevant providers. We coordinate the services named in our proposal and clarify who owns every other dependency.
For outdoor work, the plan needs a suitable covered fallback, an agreed weather decision and safe equipment conditions. Public spaces may need permissions. We confirm the responsible organiser and the information required before treating a site as feasible.

Our indicative price bands explain the minimum scope behind each starting point. Styling, formal production and hosted activities have different equipment and staffing needs.
Venue hire, catering, alcohol, travel beyond the stated base, accommodation and specialist suppliers are separate unless expressly included. Technical complexity, custom builds and restricted access can change costs substantially. GST treatment and all applicable charges are confirmed in the written proposal.
