This statement explains the information used to respond to your event enquiry, plan agreed services and operate this website, together with your access and correction rights.

Who holds your information

This statement describes our enquiry and event-planning information practices. We handle personal information in accordance with the New Zealand Privacy Act 2020.
What we collect and why
The enquiry form asks for your name, email address, event type and event details. These are required so we can identify the request, contact you and understand what you want organised. If you do not supply them, the form cannot be submitted; you can contact us by phone instead.
Company name, phone number, date, location, guest estimate and budget are optional. They help us assess feasibility, discuss availability and prepare a relevant proposal. Please include only information needed for the event and avoid sending payment-card details, identity documents or unnecessary information about guests.
We use your enquiry to respond, clarify requirements and administer services you subsequently request. Booking correspondence may include approved supplier details, venue contacts, access arrangements, billing information and records needed to manage the event.
We normally collect information directly from you. If an organiser gives us information about another person, we use it only for the relevant event purpose and take reasonable steps to give that person the applicable collection information, unless a lawful exception applies. Organisers should tell people when their details are being shared with us.
Website and storage data
When you view the website, the hosting service receives technical request information such as your IP address, requested page, time and browser details. Host security and access logs may record this information to deliver and protect the site. We do not use this form to collect a payment or create a customer account.
The enquiry pages use a necessary session cookie to protect the form, limit immediate repeat submissions and support the confirmation page. Privacy choices are stored in your browser. Security, retention and breaches
We use reasonable access controls and administrative safeguards appropriate to enquiry and event records. The website validates form input and protects submission with a session token. Email delivery depends on the hosting and email services; no internet communication method can be guaranteed completely secure.
We keep personal information only for as long as needed for the enquiry, services, legitimate recordkeeping, dispute resolution and applicable legal obligations. Records are reviewed for deletion or de-identification when those purposes no longer apply. The duration can differ between an unconverted enquiry and a completed booking.
If a privacy breach has caused, or is reasonably believed likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by the Privacy Act.
Optional marketing and Google services
An event enquiry is not marketing permission. The optional email-ideas checkbox is separate and unticked. If you choose it, we may send relevant event ideas from Roll Folk. Commercial messages will identify the sender and include a working way to unsubscribe. You can also withdraw by emailing us; service correspondence about your enquiry or booking may still be necessary.
Analytics and marketing storage are off by default. No Google Analytics, Google Ads or similar tracking scripts are currently connected. If such services are introduced, we will update these disclosures and use the relevant privacy choices. Google services, when enabled with the appropriate choice, may process browsing and device information for measurement or advertising, including personalisation. Access, correction and complaints
You can request access to personal information we hold about you, or ask us to correct it, by contacting [email protected]. Explain the information or interaction concerned. We may need to verify your identity before disclosing information. We will respond within the applicable statutory requirements and explain any lawful reason for withholding information or declining a requested correction.
If a correction is not made, you may ask for a statement of your requested correction to be attached where the Act provides for this. Contact us first if you have a privacy concern so we can investigate. You can also seek guidance or make a complaint through the Office of the Privacy Commissioner.
We update this statement when our practices materially change. The effective date appears at the top of this page. A later statement does not retrospectively expand the purpose of information already collected without an appropriate basis.
