Design the site before adding attractions

An outdoor event starts with the ground, access and weather arrangements. We need to understand where vehicles can unload, where guests can move, what power is available and which areas remain usable if conditions change. The layout separates activity spaces from service routes and keeps exits clear.

Carnival and festival directions can use colour, signage and a small number of hosted zones. Sports-inspired activities suit a different surface and spacing plan from a seated quiz. We select the programme around the site’s limitations instead of assuming every attraction can operate on any lawn.

Keep responsibility visible

For a charity fundraising evening, we can organise the setting and entertainment while the organiser manages charitable representations, donations and beneficiary information. An auction is a separately managed component, with its own terms, responsible operator and any required legal checks. We do not bundle regulated fundraising mechanisms into themed entertainment.

School and university briefs are limited to staff, alumni and other adult guests aged 20 and over. Our service does not include children’s activities or family fun days. An outdoor gathering can still feel informal, with accessible social space and a programme that accommodates different activity preferences.

Assess the covered base

The starting scope assumes a suitable, already covered Auckland venue area with usable power, toilets and level access. Marquee hire, flooring, generators and public-site permissions are separate.

Agree the weather decision

We record a fallback location or cancellation/rescheduling process, who makes the decision and when suppliers must be notified. Equipment operates only in conditions suitable for it.

Coordinate the zones

For a compact event, a coordinator and activity host manage two low-equipment zones and simple wayfinding. Larger groups, multiple attractions or extended hours require more staffing.

Indicative planning price

From NZ$3,800

A three-hour programme for up to 30 guests in an existing covered space is the base. Infrastructure, security, catering, performers and specialist attractions are additional.

Site conditions drive outdoor costs. The proposal identifies the covered-space assumptions, staffing and GST treatment, plus any infrastructure that must be added. Venue hire, permissions, hospitality and travel outside the Auckland base are not included in the starting figure.

Practical questions.

Does the price include a marquee?
No. The starting scope assumes suitable cover is already provided by the venue. A marquee, anchoring, flooring, heating and weather-rated power require site-specific supplier pricing.
Can you work in a public park?
Only after suitability and the required landowner or council permissions are confirmed. Access, noise, power, toilets and weather arrangements affect whether the proposed format is workable.
Can a university club book an event?
We can consider an event where all guests are 20 or over and the venue permits the proposed activities. Provide the group purpose, age policy, location and a responsible organiser.
What happens if the weather changes?
The written event plan identifies the agreed fallback and decision process. Safety, supplier commitments and the availability of another date affect the options; any cancellation or rescheduling costs must be stated in the booking terms.
